How to choose your first business AI automation
Select a manageable workflow with measurable value, clear ownership and a manual fallback.
Look for repetition with a clear finish line
Good starting candidates have recurring inputs, a recognizable output and a person who can judge whether the result is correct. Examples include classifying inbound requests, drafting a weekly report or preparing a lead summary for review.
Avoid beginning with a loosely defined instruction to automate the entire business. Break the process into steps and identify the actual bottleneck. Sometimes a form, a rule or a simple integration solves it without an AI model.
Estimate value with explicit assumptions
Use your own activity data. As a hypothetical example, 100 tasks per month taking six minutes each represent ten hours of existing work. If a proposed workflow still needs two minutes of review per task, the gross time saving is about six hours and forty minutes—not ten hours.
Subtract exception handling, maintenance and software costs before deciding whether the project is worthwhile. Time saved is not automatically cash saved, especially when staff use that time for other duties. State what the team intends to do with the recovered capacity.
Keep controls close to the risk
Drafting an internal summary can tolerate different controls from sending an external message or altering a financial record. Define which outputs require approval, which systems can be written to and how an operator can stop the workflow.
Use representative test cases, including malformed input and unavailable services. Store enough operational information to diagnose failures without collecting unnecessary personal data. Make someone responsible for investigating the exception queue.
Pilot before expanding
Run the workflow on a limited scope and compare its output with the existing process. Measure completion time, correction rate and unresolved exceptions. Keep a manual route available so a provider outage does not block the whole operation.
Expand only after the process is dependable and someone owns it. Write down the trigger, dependencies, permissions and recovery steps. An automation is an operating system component that needs maintenance, not a demo that becomes reliable because it uses AI.
